PURPOSE OF THE JOB:

The Procurement Manager is accountable for the end-to-end operational execution of procurement activities for raw materials, packaging, chemicals, and services, ensuring uninterrupted production, cost control, supplier performance compliance, and adherence to governance, ethics, and food safety standards. The role supports enterprise objectives by delivering value-for-money procurement, supply reliability, and controlled risk exposure in line with the department’s strategy.

MAIN RESPONSIBILITIES:

Procurement Planning & Execution

  • Execute approved procurement plans aligned with production schedules, inventory targets, and budgets.

  • Manage end-to-end procurement activities from demand validation and tendering through contract execution and purchase order issuance.

  • Ensure accurate and timely processing of purchase requisitions, purchase orders, and stock transfers through the ERP system.

Sourcing Execution

  • Conduct RFQs, tenders, and negotiations in line with sourcing strategies approved by the Director.

  • Negotiate commercial terms, pricing, delivery schedules, and payment terms within delegated authority.

  • Implement framework agreements and preferred supplier arrangements defined at Director level.

Supplier Management & Performance Control

  • Manage operational relationships with approved suppliers to ensure delivery, quality, and service performance.

  • Monitor supplier KPIs including on-time delivery, quality compliance, responsiveness, and after-sales support.

  • Conduct supplier evaluations, issue performance feedback, and track corrective actions.

  • Identify supplier risks and escalate strategic or high-impact issues to the Director.

Quality & Food Safety Compliance

  • Ensure procured materials and services comply with quality, food safety, and regulatory requirements.
  • Support Quality Assurance in managing supplier non-conformities and corrective actions.

  • Maintain procurement documentation and records to audit-ready standards.

Import, Forex & Logistics Coordination

  • Coordinate with finance teams on forex approvals, import documentation, and delivery follow-up.

  • Proactively monitor lead times and delivery risks and escalate potential disruptions.

  • Cost Control & Value Delivery

  • Support landed cost control initiatives by ensuring adherence to negotiated prices, freight terms, and delivery conditions.

  • Identify operational cost-saving and efficiency improvement opportunities and propose them to the Director.

Team Leadership & Capability Development

  • Lead, coach, and supervise Procurement Officers and support staff within the division.

  • Allocate workloads, set clear priorities, and ensure effective day-to-day task execution.

  • Conduct regular performance monitoring, provide structured feedback, and support formal performance evaluations.

  • Identify skill gaps and training needs and coordinate development actions with the Director and HR.

  • Promote discipline, ethical conduct, compliance awareness, and continuous improvement within the procurement team.

Governance, Ethics & Risk Management

  • Ensure procurement activities comply with company policies, delegation of authority, and anti-bribery and corruption standards.

  • Monitor suppliers for financial, operational, and reputational risks and report concerns.

  • Immediately escalate suspected misconduct or non-compliance.

Reporting & Continuous Improvement

  • Prepare regular procurement performance reports covering spending, supplier performance, cycle time, and issues.

  • Contribute to continuous improvement of procurement processes, templates, and systems under Director guidance.
