Job Title: Management Trainee – Human Resource and Administration

Managing Director

Job Purpose:

To support the Human Resource and Administration department while gaining hands-on experience in HR operations, office administration, staff welfare services, canteen coordination, and gardens/environment maintenance. The role is designed to develop future leaders through practical exposure to people management, operational administration, and workplace support services.

Key Responsibilities:

Human Resource Functions:

  • Assist in recruitment, onboarding, induction, and employee documentation processes.
  • Maintain employee records, attendance systems, leave schedules, and HR databases.
  • Support payroll preparation through attendance and employee data coordination.
  • Assist in employee welfare, performance management, and disciplinary administration.
  • Support implementation of HR policies, procedures, and compliance standards.
  • Coordinate staff training, orientation, and engagement activities.
  • Assist with grievance handling and employee relations support.

Administration Functions:

  • Support daily office administration, filing systems, and records management.
  • Coordinate procurement of office supplies, uniforms, and welfare materials.
  • Assist in scheduling meetings, preparing reports, and maintaining calendars.
  • Support facility management, office cleanliness, security, and maintenance.
  • Coordinate logistics, transport, accommodation, and departmental support services.
  • Assist in monitoring company assets and administrative resources.

Canteen Management Functions:

  • Assist in supervising daily canteen operations to ensure timely meal preparation and service delivery.
  • Monitor food hygiene, cleanliness, and compliance with health and safety standards.
  • Support stock control for food supplies, kitchen equipment, and consumables.
  • Assist in meal planning coordination and staff welfare food service programs.
  • Monitor canteen staff attendance, scheduling, and operational efficiency.
  • Ensure proper maintenance of kitchen facilities and dining areas.
  • Support cost control measures and minimize wastage.

Gardens & Grounds Management:

  • Assist in supervising company gardens, landscaping, and outdoor cleanliness.
  • Coordinate routine maintenance of lawns, plants, trees, and outdoor spaces.
  • Monitor gardening tools, equipment, and supply usage.
  • Support environmental cleanliness initiatives and waste management practices.
  • Ensure outdoor areas reflect company standards for safety and appearance.
  • Coordinate gardening staff schedules and task allocation.
  • Support beautification projects and workplace environmental improvement.

Learning & Development:

  • Rotate across HR, Administration, Canteen, and Gardens functions for practical exposure.
  • Participate in operational improvement projects.
  • Prepare departmental reports and performance summaries.
  • Gain understanding of staff welfare systems, workplace management, and support services.
  • Build leadership capacity in people and operational management.

Qualifications:

  • Bachelor’s degree in human resource management, Business Administration, Public Administration, or related field
  • Recent graduate or early-career professional with 1-3 years work experience.
