Job Summary

  • The Commercial & Contracts Coordinator sits within the Operations Delivery department at Triumph Power & Gas Systems Limited TPG and reports to the Head of Operations Delivery. The role owns the day-to-day mechanics of TPG’s customer-facing commercial cycle, from RFQ intake through proposal build, pricing assembly, bid packaging and submission, contract review and administration, key commercial documentation, invoicing and milestone-receivable discipline across all live Customer-OEM channel-partner engagements.
  • The role exists to sustain pace and discipline across TPG’s high-volume bid and contract pipeline. It is the operational backbone that ensures every RFQ is logged and tracked, every proposal is built to TPG’s quality standards within the customer’s deadline, every contract is reviewed against TPG’s commercial doctrine before signature, and every milestone-driven invoice is raised, submitted and pursued through to receipt.
  • Day-to-day, the position carries the interface with TPG’s proposals base, TPG’s OEM channel partners, and the Nigerian regulatory and procurement portals most notably NIPEX, NCDMB, GEP Smart and the various customer-specific supplier and tender platforms. Outputs are visible weekly to the Head of Operations Delivery via the Bid Tracker, the Project Progress Tracker, and the live receivables register including other internal documents for proper monitoring.

Duties & Responsibilities

  • Coordinate the end-to-end mechanics of the proposal development cycle, covering RFQ intake, document register, technical input gate, pricing-sheet assembly, internal review tracking and final submission packaging, under the direction of the Head of Operations Delivery.
  • Maintain the Operations Delivery Bid Tracker and Quotation Register, including the unified quotation reference convention, and ensure every outgoing offer is logged, sequenced and version-controlled.
  • Build and maintain pricing working sheets, Analysis tabs and Profitability models per the TPG quotation standard, applying agreed mark-up structures, FX assumptions, WHT positions and cashflow logic.
  • Draft commercial cover notes, transmittal letters and clarification responses for customer and OEM correspondence, to the written-communication standard expected of Operations Delivery.
  • Administer the contract document repository for live engagements MSA, LTSA, framework agreements, Purchase Orders, NDAs; keep variation orders, amendments and change requests current; and surface compliance gaps to the Head of Operations Delivery.
  • Track milestone payment schedules, invoice triggers, retention release timings and WHT certificate status against contract terms; raise milestone-driven invoices and pursue them through to receipt; flag late or at-risk receivables to the Head of Operations Delivery and to Finance.
  • Carry the commercial interface with TPG’s customer base, the OEM channel partners and the Nigerian regulatory and procurement portals NIPEX, NCDMB, GEP Smart and the various customer-specific supplier and tender platforms; maintain TPG’s supplier registrations, vendor approvals and portal credentials current and audit-ready, and process PFI verification, lead-time confirmation, parts and tooling commercial paperwork and Incoterms documentation as required.
  • Maintain the customer profile library and the proposal library; populate lessons-learned entries on closed bids and projects.
  • Support the departmental reporting cadence, covering the Tuesday Pre-Meet Brief, Wednesday Ops MOM, weekly KPI roll-up, the standing Project Progress Tracker and the live receivables register, under the direction of the Head of Operations Delivery.
  • Adjacent Assignment Provision: the role-holder will, from time to time and based on departmental needs, be assigned tasks within other units of the Operations Delivery department Operations and Asset Reliability to support balanced workload distribution and cross-functional capability development.

Minimum Requirements

  • Education: Bachelor’s degree in Engineering or a business-related field.
  • Experience: Minimum of 3 years of progressive operational experience in Proposal Coordination, Contracts Administration, or Commercial Operations within the Oil & Gas, Power, or Rotating Equipment sectors.
