We are currently seeking an Administrative Assistant to provide high-level administrative and organizational support to our Directors and contribute to the smooth running of our operations for Life Medical Clinic Bon Pasteur.

 

Key Responsibilities

  • Manage and coordinate the calendars of three Directors, including appointments, meetings, and travel arrangements.

  • Organize meetings, prepare materials, book venues, and coordinate participants.

  • Welcome visitors, clients, and partners, both in person and by phone.

  • Draft and format correspondence, reports, memos, meeting minutes, and other business documents.

  • Manage incoming and outgoing emails and mail, ensuring timely follow-up.

  • Maintain and update confidential and strategic files and records.

  • Act as a liaison between management, departments, and external stakeholders.

  • Coordinate staff activities and events for international observance days.

  • Support document formatting, updates, translations, and internal communications materials.

  • Manage employee badge creation and coordinate with external suppliers for production.

  • Assist with the creation of internal posters and communication materials.

  • Any cognate duties.

Qualifications and Experience

  • Diploma or Degree in Administration, Management, Secretarial Studies, or a related field.

  • At least 3 years of experience in a similar administrative or executive support role.

  • Advanced proficiency in Microsoft Office (Word, Excel, and PowerPoint).

  • Good knowledge of Outlook, Teams, Zoom, and digital document management systems.

  • Excellent written and verbal communication skills in both English and French (minimum B2/C1 level).

  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.

  • Discreet, proactive, and able to work independently while maintaining confidentiality.
